Issuance of Qualifications

Identity Documents and Security

We store these securely using Google Workspace and HubSpot systems. Only authorised staff who hold a Blue Card can access this information, and documents are securely destroyed once we no longer need them.
Digital Literacy Requirements
We expect you to have the digital literacy skills needed to take part in your course. This includes being able to log in to our systems, use Zoom, upload and download assignments, create documents, and complete basic online research. If you’re not confident in these areas, let us know before you enrol so we can discuss options.
Language, Literacy and Numeracy (LLN) Test
You’ll also be asked to complete a Language, Literacy and Numeracy (LLN) test as part of enrolment. You must complete this honestly and without outside help, AI tools, or copying. Your results help us work out if extra support is needed for you to succeed in the course.
Accurate Information
Finally, we ask that you always provide true and accurate information. If you leave out important details or provide misleading information, it may limit our ability to support you and could affect your enrolment.

If the issue cannot be resolved informally, a formal complaint can be lodged using our official Complaints Form. Review and Appeals Process
If you are dissatisfied with the outcome of a formal complaint, you may request a review by the institute’s Director(s). If the review does not resolve the issue to your satisfaction, an independent third party may be engaged to conduct an external appeal. The decision of this external adjudicator will be final and binding.

Academic dishonesty includes, but is not limited to:

You may consider using an AI tool only when permitted by your topic coordinator and with proper acknowledgement of your use of AI.
You may be instructed or permitted to use AI platforms or tools during your topic or as part of an assessment piece. Read any instructions carefully and only use the tools in the manner prescribed. For example, a topic may permit the use of AI in some, but not all, stages of an assessment task. If you are unsure, check with your topic coordinator.
Where use has been permitted, you must properly acknowledge any use of AI in developing your assessment and provide an appropriate citation.
Generative AI tools such as ChatGPT can be handy to help you:
Understand complex concepts by explaining them in more straightforward terms
Apply critical, creative, and reflective thinking skills by generating and evaluating your prompts and the accuracy and relevance of the output.
Improve your written communication skills by refining your language and style.
Prepare for assessments by generating quizzes and flashcards to practice with
Misusing Artificial Intelligence (AI) Tools includes using AI tools such as ChatGPT, Gemini, or DALL-E without your lecturer's or RTO's permission and without appropriate acknowledgement or citations. While these tools can be helpful in your study, they must be used appropriately and ethically.
At all times your answers must be your answer and not an Ai tool answer. This is considered breach of academic guideline. Ai is permitted for research but responses must be verified with proper references.
Academic Integrity
Additional steps to maintain the student’s course progress may also be introduced.
It is crucial to adhere to these guidelines to maintain the integrity of the assessment process and ensure that students’ capabilities are accurately assessed based on their understanding, knowledge, and learning. AI chatbots, including but not limited to: ChatSopt, ChatGPT, Bing Chat, Bard, Jasper Chat, Perplexity, Tidio Lyro, Kommunicate, Drift, Infobip, and LivePerson, you.com, additional AI software accessible for assessment support and evidence creation, are examples of AI chatbots that students may not use.
Students may not utilise artificial intelligence (AI) chatbots to augment their assessment responses. Assessment responses should reflect the “transfer of learning” achieved through the training program. Students must demonstrate their skills and knowledge at the required depth and breadth, aligning with the Australian Qualification Framework (AQF) level, without incorporating AI chatbot assistance. Your assessment will contain explicit instructions on how to use AI if permitted.
Paraphrasing and Referencing Guidelines
When completing assessments, it’s essential to paraphrase any content from sources and adequately reference it using Harvard or APA style. This not only demonstrates your understanding but also upholds the academic integrity of your work.
Enforcement and Consequences
Violations of academic integrity are taken seriously and may result in penalties ranging from a warning to expulsion, depending on the severity of the offence. All assessments are subject to scrutiny using advanced software to detect any form of dishonesty.

We offer various services to support our students' physical and mental health. This includes access to counselling services, mental health workshops, and wellness programs. Students facing health-related challenges that may impact their studies are encouraged to seek support from our student services team.

Student Support Services Overview
At AIOL, we are committed to supporting our students throughout their educational journey. Our support services are designed to help you succeed academically, personally, and professionally. All support is provided upon request, and in cases where we are not qualified to meet specific learner needs, we may refer students to external services. Additional fees may apply for some services.
Staff Awareness and Responsibilities
Our staff members are trained to be aware of the regulatory and legislative requirements relevant to the training being delivered and the support needs of students. This includes understanding their responsibilities under the Disability Standards for Education 2005 and ensuring that all students receive the appropriate level of support.
Support Service Providers
We have researched and engaged with various support service providers to offer assistance relevant to our student cohort. These services include mental health support, academic advising, and career counselling. Information on how to access these services is provided during orientation and is available on our LMS.
Procedures for Monitoring Progress and Engagement
We have implemented processes to monitor student progress and engagement throughout their studies. This includes regular check-ins with academic advisors, tracking course progress through the LMS, and early intervention strategies for students who may be at risk of falling behind. These procedures are in place to ensure that every student has the opportunity to succeed.
Online Learning Support
Digital Literacy and Technology Requirements
To succeed in an online learning environment, students must have suitable digital literacy skills and access to the necessary technology and resources. We assess students’ digital literacy during the enrolment process and provide support where needed. Students are expected to have a reliable internet connection, a computer or tablet, and access to required software and platforms.
Access to Online Resources
All online students have access to the same resources as in-person students. This includes access to course materials, online libraries, and student support services through the LMS. We ensure that online students receive all relevant information about their course and the provider to support their learning.
Monitoring Progress and Early Intervention
We have systems in place to record and monitor the progress of online students. Regular data collection allows us to identify students needing additional support and intervene early to address any issues. This proactive approach helps to ensure that online students remain engaged and on track to complete their studies successfully. We will communicate with you regarding our student support services if our data reflects you need additional support. Ultimately, the onus is on you to reach out and let us know if you need support.
Local Support Services
For students who require additional support beyond what we can provide, we may be able to refer you to local services that can offer assistance. This includes mental health services, academic tutoring, and career counselling. Information on these services is available upon request, and we can facilitate referrals as needed.

Photograph/Testimonial Consent and Release
At the Australian Institute of Learning, most of our classes, tutorials, and support sessions may be recorded. This is so we can improve the quality of training, support you if you miss a session, and meet our legal obligations. If you’re in a recorded session, your name, voice, or image might appear in the recording — but recordings are only ever shared with enrolled students through secure links. They are never made public.
We may also use photos, short videos, or testimonials for marketing on our website, social media, or in print. If this happens, we will never publish your full name, address, or personal details. For students under 18, parental or guardian consent is built into the enrolment form by acknowledging we privacy notice we provide in the enrolment form.
If you prefer, you can ask to join a class without your camera on or use a display name that does not identify you. And if you have concerns about recordings or marketing use, you should contact us before your classes begin so we can talk through your options.

By enrolling in a course at AIOL, you (or your parent/guardian, if you are under 18) acknowledge and agree to the following terms:
Recordings, Photos, and Media
We record most training and support sessions to improve quality, provide replays to enrolled students, and meet compliance requirements. You will always be notified if a Zoom session is being recorded. Audio recordings of class training may also be made at the trainer’s discretion, for example to follow up on student conversations, monitor training quality, or provide an additional safeguard when the student is a minor.
If you participate in a recorded session, your name, voice, image, or chat may appear in the recording. Recordings are stored securely in the cloud and are never made public. Where recordings are shared, access is restricted to enrolled students only. On rare occasions, a recording may be disclosed in the event of a legal dispute, compliance review, or regulator request.
Under Queensland law (Invasion of Privacy Act 1971 ss 43 and 45), a party to a private conversation may lawfully record it without the other party’s consent, but publishing or sharing such recordings is restricted. The Australian Institute of Learning will only use or disclose recordings where permitted by law, for training, compliance, or lawful interests.
By enrolling in a course at the Australian Institute of Learning (RTO 32309), you (and if under 18, your parent/guardian) grant the College consent to photograph, video, or record your name, voice, appearance, likeness, and/or written testimony. These may be used in advertising, promotional materials, events, and marketing activities, both in print and online.
We may publish, exhibit, or distribute your likeness, testimonial, or appearance worldwide in media including print, radio, television, and online platforms. To protect your privacy, we will never publish full names, home addresses, or personal contact details in public materials. For students under 18, parental/guardian consent is collected via the enrolment form.
You acknowledge that no payment or compensation will be provided for the use of your image, likeness, or testimonial. By consenting, you agree that this use is authorised and indemnify the College against claims or damages related to such use.
The Australian Institute of Learning is committed to acting responsibly and ethically in all use of recordings and media. We will never sell your information to external parties without your express permission.
Indemnity
You agree to indemnify and hold harmless the Australian Institute of Learning (RTO 32309), its subsidiaries, affiliates, successors, assigns, officers, directors, agents, and employees from any claims, actions, losses, or damages arising from the authorised use of your likeness, image, video, voice, or testimonial for training, promotional, or marketing purposes.
You acknowledge that once material is published online, despite our safeguards, it may be subject to unauthorised use by third parties, including but not limited to artificial intelligence tools, bots, or data-scraping technologies outside of our control. The College will take reasonable steps to protect and monitor the use of student content but cannot be held liable for misuse or unauthorised reproduction by external parties.
